How to Complete or Unpublish An Activity

Completing or unpublishing an activity removes it from public view so that volunteers can no longer sign up. You may want to unpublish in situations such as:

  • You have enough volunteers – If your organisation has already reached the intended number of participants and you prefer not to receive more registrations.
  • Plans have changed – If the date, time, or requirements are being updated and you’d like to pause sign-ups until the details are confirmed.
  • Activity is cancelled or postponed – If the activity can no longer go ahead as planned.
  • Internal review needed – If you need to temporarily remove the listing while confirming with your team or partner organisation.

Note: The platform does not automatically stop registrations when a volunteer limit is reached. If you need to manage capacity, you can unpublish the activity or manually reject new registrations.

What’s the difference between “Unpublish” and “Complete”?

  • Unpublish (Draft): Use this when the activity is not ready for public view or you want to temporarily pause sign-ups. Once unpublished, it becomes a Draft that you can edit and re-publish later.
  • Complete: Use this when the activity is completed or closed. For example, you may complete an activity early if you already have enough volunteers, the activity has run its course, or if the activity cannot proceed further. Once marked as Complete, the activity is closed to new sign-ups, and the status cannot be changed.

When should I unpublish?

  • You want to pause sign-ups while updating details (date, time, requirements).
  • You’ve reached the intended number of volunteers but may reopen later.
  • You’re preparing or reviewing the listing internally before publishing.

When should I complete?

  • The activity has ended as planned.
  • You need to close it early due to over-subscription or other reasons.
  • You want to record the activity as completed in your dashboard.

Steps to Unpublish an Activity.

  1. From your Activities tab, click on your activity.

  1. Click Unpublish Activity and it will automatically be saved as a draft.

  1. To find your unpublished activity, go to Activities in the menu, then use the Activity Status filter and select Drafts to view your unpublished activity


Steps to Complete an Activity

  1. Go to your Activities tab and select the activity.


  1. Click Complete.

  1. The activity will be taken down from public view. To find your completed activity, go to Activities in the menu, then use the Activity Status filter and select Completed to view your completed activity.

Note:

  • The platform does not automatically stop registrations when the volunteer limit is reached. You will need to either Unpublish the activity or mark it as Complete.
  • Drafts can be edited and re-published. Completed activities are closed and no longer accept volunteers.
